It takes more than 40 volunteers to run a home meet and about 25 volunteers for an away meet. Your involvement is essential to your swimmer’s experience and to the success of our team.
Each family will be asked to support their swimmer and our parent leaders by volunteering at meets throughout the season, but please know our team’s needs often go beyond the minimum requirement. Organizing volunteers is a big task, and stepping in when you see a need makes a tremendous difference.
There is a wide variety of roles available — whether behind the scenes, poolside, organized and detail-oriented, or high-energy and interactive. It’s a great opportunity to learn something new, meet other families, and be part of the excitement.
Volunteer Job Signup Instructions
We understand this is a commitment and we need your help. In order to allow an adequate amount of time for our coaches and leadership team to put meets together: All meet jobs will close the Thursday before each meet, If you have not met your requirements you may be asked to fill-in for specific roles that are left unfilled.
1) Log in to your Swimtopia account
2) Sign up using the GREEN signup buttons on the "Signup Calendar" tab:
In calendar of events:
- Locate the meet(s) you are signing up for
- You will see:
- "Job Signup" tab (for volunteers)
3) Sign up for Jobs at the Meets
Please note: Meet jobs can be filled by any representative of a swim team family, including parents, siblings and babysitters over age 15, grandparents, and friends. any remaining open meet jobs will be filled by remaining families registered for that meet based on the least total points signed up for the season.

- Sign up for volunteer shifts by checking box(es)
- Note: One parent may signup both parents; scroll down and you’ll see the other parent listed. If you know you and your spouse will not be at this meet, skip to Swimmer Signup.
- Click Save Assignments
- Repeat for each meet
Point Systems
In order to make swim meets a possibility for our swimmers each family needs to participate through Meet Jobs. We are asking each family to contribute points.
- Points are assigned to each meet job based on time, training, and effort involved.
- For our season to be supported adequately, each family will be asked to contribute an equal number of points by the end of the season.
- Points are listed within the meet job signup and are automatically calculated.
- A family can sign up for more than one Meet Job per meet.
- Meet jobs can be shared/split by two families but must be arranged by them and team leadership notified (to adjust points)
- Keep track of points by checking the "My Account" tab on the homepage.
*There are jobs available beyond what is listed on Meet Signups. Please contact team leadership if you need assistance finding a job that suits your availability.
Volunteer Roles
Age Group Captains
- Designated parents for the younger age groups (6 & Under, 7–8, 9–10, or 11–12).
- Checks swimmers in to their tent and helps get them ready for events.
- Responsible (as reasonably possible) for knowing the whereabouts of their swimmers.
Clerk of Course
- Organizes swimmers for each race and helps ensure they know their lanes and are properly lined up at race time.
- Must know how to read a heat sheet.
- This job is great for getting to know the swimmers — and giving good advice and pep talks!
Clerk of Course Relay Assistant
- Helps locate swimmers to line them up for their events and relays.
- Ensures they are ready to start the relay at the correct end of the pool and in the correct order.
Heat Ribbons
- Distributes heat ribbons to the 1st place finisher at the end of each heat.
- Fast-paced — but oh so fun to see those smiles when swimmers receive their ribbons!
Place Judge
- Sits at the finish end of the pool and visually determines event placements.
- Front-row seat, but requires strong focus.
Referee
- Runs the meet once the warm-up session has started and gives instructions to other officials working the meet.
- Must attend officials training and have knowledge of swim protocol.
Scorekeeper
- Oversees the meet using the Swimmingly scorekeeping system.
- Requires basic knowledge of iPad functions, swim meet scoring, and meet flow.
- Training includes watching videos and simple instruction.
Snack Shack
- Oversees and operates the concessions area by preparing, stocking, and selling food and beverages with another volunteer.
- A shady job in the gazebo!
Starter
- Starts the races at home meets and announces events and heats.
- Must attend officials training and have knowledge of swim protocol.
Stroke & Turn Official
- Ensures that strokes, turns, and finishes are performed legally.
- Requires completion of the online Stroke & Turn course provided by the WCSL.
Timer
- Times events in one lane using the Swimmingly program that runs the meet. You will be paired with a timer from the opposing team.
- Requires a small amount of hands-on training for Swimmingly. You will use your own mobile device.
- Front-row seat in the SPLASH ZONE
